What is ReservationBay?
ReservationBay is rental software. If your business hands things over to customers for a period of time and takes them back again — bikes, boats, campervans, skis, tools, party equipment, camera gear — ReservationBay keeps track of what you own, who has it, when it comes back, and what you were paid for it.
You do not install anything. You sign in at portal.reservationbay.com in your browser, and everything happens there.
What you can do with it
Take bookings in two places at once. Your team enters bookings at the counter, and your own website takes them too, through a booking widget you paste into your site. Both write into the same calendar, so an object can never be rented twice.
Keep your rental catalogue. You set up your locations (the shops or depots you rent from), your categories (the kinds of thing you rent — "city bikes", "8-person tent"), and your objects (the actual bike number 14, the actual tent). Prices, opening hours and rules live on the category; the objects are your stock.
Charge the right amount, automatically. Rates per hour, day, week, month, or your own tiers ("three days for €90"). Seasonal and weekend surcharges. Discounts for longer rentals. Deposits. Extras like helmets, child seats or a damage waiver. The system works out the total; you do not.
Run the counter. Check-in and check-out screens for the daily rush, a printable contract, a signature on a tablet, photos of the condition on the way out and the way back, and a barcode scanner if you track individual units.
Get paid. Online payments through the booking widget, cash and card at the counter, deposits held on a card rather than charged, invoices, and money in your bank account. See Payments.

The words we use
A handful of terms come back on every screen. They are worth two minutes.

| Location | A place you rent from — a shop, a beach kiosk, a depot. Has its own address, opening hours and closed days. |
| Category | A type of rentable thing: "city bike", "double kayak", "party tent 6×12". Carries the price, the deposit and the rules. |
| Resource (also shown as object) | One physical item you own — bike 14, kayak 3. Resources belong to a category and a location. This is your stock. The menu says Resources; the booking screens and reports say object. |
| Booking | One rental: a customer, a period, one or more objects, and what it costs. |
| Bundle | Several categories sold together as one thing — "BBQ package: 1 grill, 4 chairs, 2 tables". |
| Extra / waiver | Something you add to a booking that is not an object: a helmet, a cleaning fee, a damage waiver. |
| Deposit | Money you hold as security and return when the object comes back undamaged. |
| Plan | Your ReservationBay subscription package: Flex, Growth or Pro. |
