Team, roles and access
Two independent things decide what a person sees in the portal:
- What your company has switched on — the features you enabled under Settings → Features.
- What that person's role and permissions allow.
Both are set by the owner, and both apply everywhere: the menu, the pages, and what the software will accept.
The three roles

| Admin | Every feature the company has enabled — the whole day-to-day operation. Cannot touch billing, users or feature toggles. |
| Staff | Only the features the owner ticked for them, and only from those the company has enabled. |
Whoever creates the company is its owner.
Roles belong to the membership, not the person. The same email address can be an owner at one company and staff at another; each is separate.
Inviting a colleague
Go to Settings → Users (owners only) and use Invite user. Enter their email address and press Send invite.
- If they already have a ReservationBay account, they are added to your company straight away and can sign in with their existing password.
- If they do not, an invitation email goes out with a link where they set a password. Following that link both verifies their address and signs them in.
Invitation links expire. If someone waits too long, invite them again — the invitation can be re-sent as often as you like.
Do not ask a colleague to register their own account. Registering creates a new, empty company. An invitation puts them in yours.
Deciding what a staff member may use
The Users screen shows a grid: your team down the side, the optional features across the top.
- Owner and Admin rows read all features and have no checkboxes — those roles see everything by definition.
- Staff rows have a checkbox per feature. Tick what they need.
A feature nobody ticked for them disappears from their menu, and typing its address takes them back to the dashboard.
Someone who has not confirmed their email address yet is marked Not verified in the list. They can still be given access; the label is there so you know why they might not be receiving mail.
Removing someone
Use Remove on their row. It asks for confirmation, then takes away their access to this company. Their account and any memberships at other companies are untouched, and the bookings they entered stay exactly where they are.
What is enforced, and what is convenience
The three owner-only powers — billing, users and features — are enforced properly: even a hand-crafted request from an admin's browser is refused.
Feature visibility for staff is enforced in the menu and in the portal's navigation. It hides what someone should not be working with; treat it as tidiness rather than as a security boundary, and give portal access only to people you trust with your business data.
