Invoices and wallet
When you are invoiced
On the day of the month you started. If you signed up on the 14th, your invoices are raised on the 14th of every month.
The two invoices
You get two, every month, because they answer different questions.
Subscription
- Your package for the coming month, charged in advance.
- Your commission over the month just gone, charged in arrears.
Commission is a percentage of your bookings and depends on your plan: 2.95% on Flex, 1.5% on Growth, 0% on Pro. See Plans and pricing.
Payments
The transaction costs of the month just gone — payment fees, refunds, chargebacks and payouts — grouped as quantity × published price.
That grouping is on purpose: it means you can lay the invoice next to the provider's own report and check it line by line.
Lines that were already settled
A payment fee taken online was already withheld from that payment as it passed through. It still appears on your invoice — marked already settled.
That is not double-billing. The invoice is a complete record of the month's charges; what is actually collected is only the part that was not already taken.
How the outstanding part is collected
In this order:
- Your balance at the payment provider — only if you gave permission for that at sign-up. Cheapest and least intrusive: money that is already there.
- Direct debit — from the bank account you registered, provided the mandate is active. See Direct debit.
- Your wallet — the amount goes onto your running account, and the seven-day clock starts.
An invoice that was entirely withheld at source is simply marked paid; nothing moves.
Getting the invoice
The PDF is emailed to your billing email address and is available in the portal under Administration → Invoices, where you can download it whenever your bookkeeper asks.
The document is the accounting record. Once issued it does not change — that is what makes it a document.

Your VAT number is checked against the European VIES register when you enter it under Settings → Subscription, with the result shown on screen.
If the register is temporarily unreachable, VAT is charged. That is the safe direction: too much VAT can be credited, too little is a liability that cannot be recovered. Enter your number again once the register is back and the next invoice follows it.
Your wallet
The wallet is a running account, shown on the Payments screen.
- Zero is the normal state.
- Positive means we hold something for you.
- Negative means you owe us, and there is a seven-day deadline.
The balance is not a number someone types; it is the total of every movement on the account, each showing the balance after it. If you ever disagree with the figure, it can be traced to the exact line where the two versions diverge.
If your wallet goes negative
- You see a warning on the Payments screen with the date it is due by.
- You get a daily email until it is settled.
- Top up balance clears it.
After seven days it counts as overdue, and refunds are blocked until it is settled. That is the point at which it starts affecting your customers, so it is worth not getting there.
