The Payments screen
Payments in the menu is your money screen. Unlike most menu items it is always there. You are billed whether or not you look at it, and a wallet that goes negative comes with a deadline you should not be able to hide from yourself.
What the screen shows depends on whether your verification has finished.
Before verification is finished
The screen shows only onboarding, because there is nothing else to configure and no traffic to show yet.
- A progress bar with how far you are ("3/7") and what the current step is.
- A document checklist: each document the payment provider has asked for, its status, and the reason if one was rejected.
- A button through to Settings → Subscription, where the process is driven.
If nothing has been requested yet, it says so.
Your wallet is visible but locked, with available once your onboarding is complete. Payment methods and transactions are not shown at all.
The full process: Getting verified.
After verification
Accepted payment methods
Per location, a list of every method available to you, each with a checkbox and its price.
Tick what you want to accept. Only the methods you tick are offered to your customers in the widget.
The provider will make everything your package allows available, but offering a method you did not choose is offering a price you did not agree to, so nothing is on until you switch it on. See Payment methods.
If a location has nothing available, it says so.
Recent payments
Three totals at the top:
| Total | Meaning |
|---|---|
| Total excl. VAT | Everything charged in the period. |
| Withheld at source | Already taken from your payments as they came through. |
| Still outstanding | Still to be collected. |
Below them, the individual lines: date, description, quantity, amount, and settled via, how that particular line was settled, or a dash if it has not been. The list is paginated.
Wallet
Your running account with ReservationBay. Zero is the normal state, not a starting balance.
A negative balance means you owe us, and you have seven days. The card sits at the top of the sidebar with the deadline on it, because a deadline nobody sees is a deadline nobody meets.
- Negative: your balance is negative. Top it up within 7 days. With the date it is due.
- Overdue: your balance has been negative too long. Top it up now.
Top up balance settles it.
This is the one operational consequence, and it is worth avoiding: you cannot refund a customer while your balance is overdue. Top up first.
You also get a daily email while your balance is negative.
Payout interval
How often your balance is paid out to your bank account, daily, weekly or monthly. See Payouts.
Subscription
A pointer, not a form: your package, VAT number and direct debit are managed under Settings. See Plans and pricing.
The banner on every page
Until verification is complete, a banner appears on every portal page. That is deliberate. It blocks getting paid, so it follows you around rather than waiting on one screen you might not visit.
