Administration
Administration is the paperwork screen: what came in, what ReservationBay charged you, and what to hand to your accountant. It is an optional feature, switch it on under Settings → Features.
Three tabs.
Payments
Every payment taken on your bookings, with:
- when it was created
- its status
- the payment method: online, PIN or cash
- the revenue
- whether it was a test
If nothing is there yet, it says No payments found yet.
This is the operational view of money coming in. The commercial view, meaning what ReservationBay charged you for each of those transactions, is on the Payments screen.
Invoices
The invoices ReservationBay sent you: your monthly package, your commission and your transaction costs.
The tab starts with your invoice details (the billing email address, your VAT number and your direct debit details) so you can check where invoices are going before wondering why they have not arrived. Change them under Settings → Subscription.
Each invoice row shows its number, the amount, and its state:
| State | Meaning |
|---|---|
| Concept | Not yet finalised. |
| Outstanding | Sent, not yet settled. |
| Completed | Settled. |
Download PDF gets you the invoice itself, the same document your accountant needs.
If you have not been invoiced yet, it says No invoices found, check back later!
How that invoice was put together and how it is collected is explained under Invoices and wallet.
Downloads
Download bookings exports a whole year of bookings as a CSV, picked by year.
This is the file your bookkeeper asks for. It is semicolon-separated with a byte-order mark, so it opens straight into a Dutch or German Excel.
Do the export once the year is properly closed, after the last late return has been completed and the last deposit released, so the file is the final word rather than a snapshot.
