Check-ins and check-outs
Under Bookings in the menu there are two screens built for the counter rather than for the office.
Check-ins
Everyone due to collect. The same calendar-plus-table view as the day tabs on the bookings screen, filtered to the rentals starting now.
Working through one:
- Open the booking from the list.
- Check the customer's details are right.
- Take the payment if it has not been paid: cash, terminal or online.
- Place the deposit.
- Generate and sign the contract, if you use one.
- Record a handover inspection with photos, if you use one.
- Scan the objects out, if you track individual units.
- Press Start booking. The rental is now in progress.
Check-outs
Everyone due to return. Same layout, filtered to the rentals ending now.
Working through one:
- Open the booking.
- Record a return inspection, condition notes and photos.
- If something is damaged, describe it and enter the amount to withhold from the deposit.
- Release the deposit hold, or capture the part you are keeping.
- Scan the objects back in.
- Settle anything still outstanding.
- Press Complete booking.
Objects that are late
A booking whose end date has passed without being completed goes to Over time. It stays visible and keeps holding its objects, so a late return does not silently free up stock you do not actually have.
Objects that come back early
An early return frees the object from the moment you complete the booking, so it can go out again the same day, and your occupancy report counts it as available from that moment rather than blocked until the original end date.
