Extras and waivers
An extra is anything you add to a booking that is not one of your objects: a helmet, a child seat, a cleaning fee, a delivery charge, or a damage waiver.
Extras are an optional feature, switch them on under Settings → Features.
The list
Extras & waivers shows them as cards with their name, their price and, where you keep stock, how many you have (12 in stock). New item creates one.
The fields
- Name: what the customer sees.
- Price type: Fixed amount or Percentage.
- Price: the amount, or the percentage.
- Stock: how many you have. Leave it empty for things that are not physical.
Fixed amount or percentage
Fixed amount is the normal case: a helmet at € 3, a cleaning fee at € 25.
Percentage is how you sell a damage waiver or insurance. At 10%, a € 200 rental carries a € 20 waiver and a € 800 rental carries € 80, which is what makes it a waiver rather than a flat fee.
The percentage is worked out over the rental subtotal, not over the deposit and not over other extras.
Stock
Give an extra a stock quantity and it can only go out on as many overlapping rentals as you own. Twelve helmets means twelve helmets, whether they were booked at the counter or online.
Leave the stock empty when the item is not a thing on a shelf. A damage waiver cannot run out, and pretending it can would eventually refuse a booking for no reason.
The booking widget shows how many are still free, so a customer does not select a child seat you do not have.
On a booking
Extras appear on the booking, on the contract and on the invoice specification as their own lines, so the customer can see what they paid for.
When the price changes later
A percentage waiver's rate is captured onto the booking when it is made. Raising your waiver from 10% to 12% in July does not change what a June booking owes, even if you later edit that booking. Only extras you add during an edit use today's rate.
Where they are offered
- At the counter, on the create booking screen and when editing a booking.
- Online, in the booking widget, as Optional extras.
Deleting
Deleting asks for confirmation. Bookings that already carry the extra keep their line and their amount.
