Settings: Users

Users is where you manage who can get into your portal and what they may do. Owner only: the tab is not shown to anyone else.

The screen introduces itself with manage who has access and what they can do.

The list

Everyone in your company, with:

  • their name and email address
  • their role: Owner, Admin or Staff
  • a Not verified label if they have not yet confirmed their email address
  • their feature access
  • a Remove button

The feature grid

The heart of the screen: your team down the side, the optional features across the top.

  • Owner and Admin rows read all features and have no checkboxes. Those roles see everything by definition. The note under the grid says as much: only staff have a tickable feature list; owners and admins see everything.
  • Staff rows have a checkbox per feature. Tick what that person needs.

A feature you do not tick disappears from their menu, and its pages redirect them to the dashboard.

What a staff member ends up with is always the overlap of two things: what your company has enabled under Features, and what you ticked here. Switching a feature off for the company takes it away from everyone, whatever their row says.

Inviting someone

Invite user, then their email address, then Send invite.

  • If they already have a ReservationBay account, they join your company immediately.
  • If they do not, they receive an email with a link where they set their own password. Following it verifies their address and signs them in.

You get a confirmation either way: User added. or Invitation sent.

If an invitation goes stale, simply invite them again.

warning

Never ask a colleague to sign up for their own account on the website. That creates a new, empty company, a very confusing half hour for everyone. Always invite.

Changing someone's role

Set the role on their row. Bear in mind what each one carries:

  • Owner: everything, including billing, users and features.
  • Admin: the whole operation, none of those three.
  • Staff: only what you tick.

Removing someone

Remove asks are you sure you want to remove this user from the company? and then takes away their access to this company only.

Their own account survives, as do memberships at any other company. Everything they entered stays exactly where it is: bookings, customers, notes.

Summer staff

The common pattern: invite them as Staff, tick only bookings-adjacent features, and remove them at the end of the season. Their work stays; their access does not.
